WhatsApp message templates that get approved

Meta reviews every template in one of three categories. Here is what a well-formed template looks like in each, and how to get yours approved.

Weekend sale

Hi {{1}}, our weekend sale is live. Take {{2}} off everything until Sunday night.

Marketing

Offers, launches, cart reminders and re-engagement. Needs marketing opt-in and is charged on every delivery.

Approval tip: Give customers an easy way out, such as a Stop promotions button, and use realistic sample values for every variable.

Your order has shipped

Hi {{1}}, order #{{2}} is on its way and should arrive by {{3}}.

Utility

Order updates, appointment reminders and account alerts tied to something the customer already did.

Approval tip: Keep it purely transactional. Adding a discount or promotion turns a utility template into marketing.

{{1}} is your verification code. For your security, do not share this code.

This code expires in 10 minutes.

Authentication

One-time passcodes for login and verification. Meta provides the wording, you add the code.

Approval tip: Authentication templates use Meta's fixed text. Only the code, the expiry note and the button are yours to set.

Template anatomy

The building blocks of a template

Every template has a body. Headers, footers and buttons are optional extras that make messages clearer and easier to act on.

  1. 1

    Header (optional)

A short title, or an image, video or document. It makes the message recognizable at a glance.

  2. 2

    Body

The main message. Variables like {{1}} are filled in with real values, such as a name or order number, each time you send.

  3. 3

    Footer (optional)

A line of small grey text, often used for your business name or opt-out instructions.

  4. 4

    Buttons (optional)

Quick replies, or call-to-action buttons that open a website, start a call or copy a code.

Before you submit

A quick checklist for faster approval

Most rejections come down to a few avoidable mistakes. Check these before you send a template for review.

  1. Step 01

    Pick the right category

Match the category to the purpose of the message. A discount inside an order update makes it marketing, not utility.

  2. Step 02

    Add realistic sample values

Give every variable a believable example, like a real-looking name and order number, so reviewers understand the message.

  3. Step 03

    Keep variables in context

Surround variables with clear text. Avoid starting or ending the body with a variable, or placing variables side by side.

  4. Step 04

    Check wording and policy

Remove spelling mistakes, misleading claims and anything that breaks WhatsApp's commerce or business policies.

Frequently asked questions

Everything you need to know before you get started

Clear answers to the most common questions about WP Tool, the WhatsApp Business API, billing and support.

How long does template approval take?
Meta reviews most templates quickly, often within minutes, but a review can take up to 24 hours. You can see the current status of every template in your dashboard.
What do {{1}} and {{2}} mean in a template?
They are numbered variables. When you send the message, each one is replaced with a real value, such as the customer's name or an order number. When you submit a template, you provide a sample value for each variable.
Why does the category matter?
Meta charges per delivered message, and the rate depends on the category. Each category also has its own rules. If the content does not match the category you chose, Meta may reject the template or move it to a different category.
Can I edit a template after it is approved?
Yes, within limits set by Meta. An edited template goes back into review, and you can keep using it once the new version is approved.
Do I always need a template to message a customer?
No. You can send free-form replies for 24 hours after a customer's last message. Outside that window, or when you message first, you need an approved template.
What happens if customers block or report a template?
Meta tracks feedback on every template. Too much negative feedback pauses it, first for 3 hours, then for 6 hours, and a third time disables it.
